EduAlert supports secure learner incident reporting and assistance for the Department of Education Region XI while prioritizing confidentiality, child protection, and responsible data handling.

Section I

Introduction

EduAlert is a Learner Incident Reporting and Assistance System developed for the Department of Education (DepEd) Region XI. The platform provides learners with a secure and confidential way to report incidents, request assistance, and receive timely support through a mobile application and web portal.

The privacy and protection of learners' personal information are of utmost importance. EduAlert is committed to complying with the Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and applicable DepEd policies on child protection and information security.

By using EduAlert, you acknowledge that you have read and understood this Privacy Policy.

Section II

Information We Collect

EduAlert may collect the following information when users access the system:

Personal Information

  • Full Name
  • Grade Level
  • School
  • Division
  • Contact Number (optional)
  • Email Address (if applicable)

Incident Information

  • Type of incident
  • Description of the incident
  • Date and time
  • Location
  • Persons involved (when voluntarily provided)

Device Information

  • Device model
  • Operating system
  • IP address
  • App version
  • Log files

Location Information

For emergency assistance, EduAlert may request access to your device's location only when necessary and with your permission.

Purpose of Data Collection

The information collected is used solely to:

  • Receive and document learner incident reports.
  • Facilitate immediate assistance and intervention.
  • Route reports to authorized school or DepEd personnel.
  • Monitor the status of reported incidents.
  • Communicate updates regarding submitted reports.
  • Generate anonymous statistical reports and analytics.
  • Improve system performance, security, and user experience.
  • Comply with legal obligations and DepEd policies.

EduAlert does not use personal information for commercial purposes.

Section IV

Confidentiality of Reports

EduAlert is designed to protect the confidentiality of learners.

Incident reports are only accessible to authorized personnel, including:

  • School Heads
  • Guidance Counselors
  • Child Protection Committee members
  • Learner Rights and Protection Action Officers
  • Oplan Kalusugan sa DepEd (OKD) Health and Wellness Program Focal Persons
  • Authorized Division and Regional Officials

Access is granted strictly based on official roles and responsibilities.

Section V

Data Sharing

Personal information will not be sold, rented, or disclosed to unauthorized parties.

Information may only be shared:

  • With authorized DepEd personnel handling the reported case;
  • When required by law or lawful government authority;
  • To protect the life, health, or safety of the learner or another individual;
  • During emergency response situations requiring immediate intervention.

Whenever possible, only the minimum necessary information will be disclosed.

Data Security

EduAlert implements reasonable administrative, technical, and physical safeguards to protect personal information, including:

  • Secure user authentication
  • Role-based access control
  • Encrypted data transmission (HTTPS/SSL)
  • Secure cloud or server storage
  • Activity logging and audit trails
  • Regular security monitoring and maintenance
  • Restricted access to confidential records

Despite these safeguards, no electronic system can guarantee absolute security.

Data Retention

Personal information will be retained only for as long as necessary to:

  • Resolve reported incidents;
  • Fulfill legal and administrative requirements;
  • Support DepEd reporting obligations;
  • Maintain official records in accordance with applicable retention schedules.

After the applicable retention period, information will be securely deleted or anonymized.

  • Be informed about the collection and use of their personal data;
  • Access their personal information;
  • Request correction of inaccurate information;
  • Request deletion when legally permissible;

EduAlert is intended primarily for learners enrolled in schools under DepEd Region XI.

Because many users are minors, the system places special emphasis on protecting children's privacy. Personal information is collected only as necessary to provide reporting, assistance, and case management services consistent with DepEd's child protection mandate.

Cookies and Analytics

The web portal may use cookies and similar technologies to:

  • Maintain secure login sessions;
  • Improve website functionality;
  • Monitor system performance;
  • Generate anonymous usage statistics.

Cookies do not collect sensitive personal information beyond what is necessary for system operation.
